Bill of Lading Information - use of volume shipment SHIPCSX Reservation Number

CSXT often receives incorrect Bill of Lading (BOL) information, caused in part by different interpretations at our various mine origins, as to the meaning of the Unit Train ID field on KSS Batch Master Systems for those origins having batch weigh scale systems and Reservation Number on the ShipCSX Volume Shipments field for those that utilize ShipCSX to transmit their BOLs.

Many errors occur because origins naturally confuse the KSS Unit Train ID field requirement (although identified as the railroad 4 digit nnnn permit number) with the CSXT Unit Train ID number (example: N93305).

The six character CSXT Unit Train ID number is not applicable to the KSS Unit Train ID field requirement nor the ShipCSX Volume Shipment Reservation Number field. It is the number that creates a profile in the CSXT computer assisted dispatching system (CADS) that allows the train to move from origin to destination via the correct route on the CSXT system. Please do not use any part of the CSXT Unit Train ID number in either the KSS Unit Train ID field or on the ShipCSX Volume Shipment Reservation Number field. They are not related to each other.

The requirement for both the KSS Unit Train ID and the ShipCSX Volume Shipment Reservation Number field is always the four digit value Reservation number located on the customers ShipCSX calendar for that particular shipment. (1 Alpha character followed by three numbers). Example: A777 or R555

In order for the BOL to be received correctly by CSXT, the four character reservation number (1 Alpha character followed by three numbers) must always be entered in these fields.

Please instruct your load-out and/or other billing employees to:

Not enter any information containing the CSX Unit Train ID number, coal consignment or commodity class numbers nor to use hyphens, dashes or values in these fields.

Enter only the (1 Alpha character followed by three numbers) Reservation Number in the KSS Unit Train ID and ShipCSX Volume Shipment Reservation Number field.
